JHR Photography LLC ("JHR Photography," "we," "us," or "our") provides photography and related media services and operates jhr-photography.com and its subdomains (together, the "Site"). This Privacy Policy explains what personal information we collect, how we use and share it, how we use artificial intelligence, how we handle information about minors, the privacy rights you have under U.S. state laws, and how to ask us to access or delete your data.

We are a U.S.-based business. This policy is written for individuals in the United States. By using the Site or our services, you agree to this Privacy Policy.

1. Information We Collect

We collect the information described below. Some you give us directly; some is collected automatically when you use the Site.

Information you provide

  • Contact and inquiry details. When you submit our contact, inquiry, or scheduling forms, we collect your name, email address, and (if provided) phone number, company, event type, venue, dates, budget, services of interest, and the contents of your message.
  • Senior Experience questionnaire. Our senior photography questionnaire collects the student's name, graduation year, school, style and interest answers, and optionally a social handle (such as Instagram), a Pinterest or inspiration link, and an email or phone number so we can send a link back to a saved questionnaire. The parent/guardian portion collects the parent's name, email, phone, session preferences, and image-use consent choices. See Children & Senior Sessions.
  • Photographs and session content. Images and video we capture of you during a session or event, and any materials, notes, or reference images you share with us to plan a shoot.
  • Communications. Records of your emails, calls, and messages with us.

Information collected automatically

  • Usage and device data. IP address, browser and device type, pages viewed, referring pages, links and buttons clicked, time on page, and similar analytics, collected through cookies and similar technologies (see Cookies, Analytics & Advertising).

Payment information

We do not collect or store credit or debit card numbers on this Site. Payments and invoices are handled through a secure third-party payment processor (Square), which collects your payment details directly under its own privacy policy.

2. How We Use Your Information

  • Respond to inquiries and provide, plan, and deliver our photography services.
  • Schedule sessions, manage bookings, and coordinate on shoot day.
  • Send you information about your session, order, or request, and service updates.
  • With your consent where required, send marketing about our services and feature our work (see Photography, Images & Model Releases).
  • Operate, secure, analyze, and improve the Site and our services.
  • Detect and prevent fraud, abuse, and security incidents.
  • Comply with our legal, tax, and contractual obligations.

We only send marketing newsletters to people who separately opt in, and you can unsubscribe at any time.

3. How We Use Artificial Intelligence

We use AI tools to help run our business and prepare our media. We want to be clear about what that does and does not involve.

  • Image metadata. We use an AI model (Anthropic's Claude) to generate descriptive titles, alt text, captions, and keyword tags for images in our media library, for accessibility and search. The model receives the image and returns descriptive text only.
  • Questionnaire and planning assistance. We may use AI (Anthropic's Claude) to read a submitted questionnaire and help organize it into a shoot plan. This can include the information a student or parent entered.
  • Website content and SEO. We use AI (Anthropic and OpenAI) to help draft and optimize website and blog content and metadata. This does not use your personal contact information.

No facial recognition or biometrics. Our AI tools do not perform facial recognition, do not measure facial geometry, and do not create biometric identifiers or "faceprints." They produce descriptive text only and are not used to identify individuals.

No AI model training on your data. We access these tools through the providers' business/API services. Under those providers' terms, information we send is not used to train their AI models. We do not sell your information to AI providers, and we do not use AI to make legal or similarly significant decisions about you. You can review the providers' policies at anthropic.com and openai.com.

4. Photography, Images & Model Releases

How your images may be used is governed by your individual service agreement and any model release you sign. Unless your agreement says otherwise, JHR Photography retains the copyright in the images we create.

  • We may use images for portfolio, marketing, social media, and promotional purposes only as permitted by your agreement or release, or your separately given consent.
  • For senior sessions, image-use permissions (for example, our portfolio, our Instagram, or advertising) are opt-in and collected from the parent or guardian, and a private gallery is the default if no permission is given.
  • At public events (such as corporate conferences), photography may occur in shared spaces; usage is defined in the event client's agreement.
  • If you want an image of you removed from our public marketing, email us at info@jhr-photography.com and we will honor reasonable requests, subject to any contractual commitments.

5. Children & Senior Sessions

The Site and our services are directed to adults. Our high-school senior sessions, however, involve minors, and we treat their information with extra care.

  • Senior sessions are arranged with the involvement of a parent or guardian, who provides contact information and the consent choices that govern how a student's images may be used.
  • We do not knowingly collect personal information from children under 13. If you believe a child under 13 has given us information, contact us and we will delete it.
  • We do not sell the personal information of minors under 18, and we do not use a known minor's information for targeted advertising.
  • A parent or guardian may review, correct, or request deletion of their minor's information by emailing info@jhr-photography.com.

6. How We Share Your Information

We do not sell your personal information for money. We share it only as described here:

  • Service providers. Vendors that help us operate, under contracts limiting their use of your data. These include: Amazon Web Services (hosting, storage, and database), Notion (our client and project records), Slack (internal new-lead notifications), Square (payments), Anthropic and OpenAI (AI tools described above), Spotify (creating a session playlist that includes a student's first name), and Google (Maps and analytics).
  • Advertising and analytics partners. We use Google Analytics and the Meta (Facebook) Pixel. Under some U.S. state laws, this use of cookies for analytics and advertising may be considered "sharing" or a "sale" of personal information. You can opt out (see Cookies, Analytics & Advertising and Do Not Sell or Share).
  • Legal and safety. When required by law or to respond to lawful requests, protect our rights, or address fraud or security.
  • Business transfers. In connection with a merger, acquisition, financing, or sale of assets, your information may be transferred as part of that transaction.

7. Cookies, Analytics & Advertising

We use essential cookies to run the Site. We also use analytics and advertising cookies, currently Google Analytics (GA4) and the Meta (Facebook) Pixel, which collect usage and device data including your IP address. These non-essential cookies do not load until you accept them in our cookie banner, and if your browser sends a Global Privacy Control (GPC) signal we treat that as a decline and do not load them at all.

You can change or withdraw your choice and further control tracking in several ways:

  • Adjust your browser settings to block or delete cookies.
  • Use a browser or extension that sends a Global Privacy Control (GPC) signal; where required by law, we treat a GPC signal as a request to opt out of "sale"/"sharing."
  • Opt out at the source: Google Analytics via the Google Analytics Opt-out, and interest-based ads via your Meta ad settings and industry tools like the DAA WebChoices tool.
  • Email info@jhr-photography.com to ask us to opt you out.

Essential cookies needed for the Site to function cannot be disabled through us.

8. SMS & Text Messaging

If you give us your mobile number and opt in, we may send you text messages about your JHR Senior Experience. This includes transactional messages such as your private link to continue or return to your questionnaire, a confirmation that we received your submission, and a notice when your experience page is ready. If you separately opt in to hear about offers, we may also text occasional news and offers.

Message frequency varies. Message and data rates may apply. Consent to receive texts is not a condition of any purchase. You can opt out at any time by replying STOP to any message, and you can get help by replying HELP or emailing us.

We do not share or sell your mobile opt-in information or consent. Your phone number and the fact that you agreed to receive texts are never shared with or sold to any third parties or affiliates for their own marketing or promotional purposes. We share your number only with the vendors that help us deliver these messages (such as our SMS provider), and only to send the messages you asked for. See How We Share Your Information.

9. Your Privacy Rights

Depending on your state of residence, you may have some or all of the following rights regarding your personal information. We honor these rights for all U.S. residents where we reasonably can, regardless of your specific state.

  • Know / Access. Request the categories and specific pieces of personal information we hold about you.
  • Correct. Ask us to fix inaccurate information.
  • Delete. Ask us to delete your personal information (see Data Retention & Deletion).
  • Portability. Request a copy of your information in a portable format.
  • Opt out of the "sale" or "sharing" of your personal information and of targeted advertising (see Do Not Sell or Share).
  • Limit sensitive information and non-discrimination. We will not deny you service or charge you more for exercising your rights.
  • Appeal. If we deny your request, you may appeal by replying to our decision; we will respond as required by your state's law.

To exercise any right, email info@jhr-photography.com or call (615) 249-8096. We will verify your identity before acting, typically by confirming information we already hold. You may use an authorized agent to submit a request on your behalf with proof of authorization. We do not charge a fee for most requests. California residents may also request information about our disclosure practices under the "Shine the Light" law using the same contact.

10. Do Not Sell or Share My Personal Information

We do not sell your personal information for money. However, our use of advertising and analytics cookies (such as the Meta Pixel and Google Analytics) may be considered a "sale" or "sharing" for targeted advertising under some U.S. state laws. To opt out, use the browser controls and opt-out links in Cookies, Analytics & Advertising, send a Global Privacy Control signal, or email info@jhr-photography.com with "Do Not Sell or Share" in the subject line. We do not knowingly sell or share the personal information of anyone under 18.

11. Data Retention & Deletion

We keep personal information for as long as needed to provide our services, run our business, and meet legal, tax, and contractual obligations, after which we delete or de-identify it.

To request deletion of your data: email info@jhr-photography.com with "Data Deletion" in the subject line, or call (615) 249-8096. A parent or guardian may request deletion for their minor. We will verify your identity and respond within 45 days (we may extend once when reasonably necessary and will tell you if so). Once verified, we will delete the information we hold about you across our systems, including our lead and project records.

We may retain limited information where the law allows or requires, for example:

  • Delivered images and files you have licensed or purchased, per your agreement.
  • Invoices, payment records, and contracts needed for tax and accounting.
  • Records needed to establish, exercise, or defend legal claims, or to prevent fraud.

12. How We Protect Your Information

We use reasonable administrative and technical safeguards to protect personal information, including encryption in transit (HTTPS/SSL), access controls that limit access to authorized personnel, and authenticated, access-controlled internal tools. No method of transmission or storage is completely secure, so we cannot guarantee absolute security.

13. Where We Operate

We operate in the United States, and your information is processed in the United States. JHR Photography LLC does not target or conduct business in the European Union or United Kingdom and is not intended to be subject to the GDPR or UK GDPR. If you access the Site from outside the United States, you do so on your own initiative.

14. Third-Party Links

The Site may link to third-party websites or services we do not operate. We are not responsible for their content or privacy practices. Please review the privacy policies of any third-party services you use.

15. Changes to This Policy

We may update this Privacy Policy from time to time. When we do, we will revise the Effective Date at the top of this page. Material changes will be reflected here, and your continued use of the Site after an update means you accept the revised policy.
